Plan the cost before the commitment
Budget for preparation, integration, review and operation. Funding can help, but the business case should stand on its own.
Illustrative planning envelopes — not market statistics or a quote
For a narrowly scoped project, use a discussion starting point of €500–2,000 for an assessment/workshop, €3,000–12,000 for a configured pilot and €12,000–40,000+ for an integrated rollout. These are illustrative assumptions, not verified market ranges; data and integration can change them materially. Excludes VAT, licences, infrastructure and ongoing support.
Count the whole cost
Include discovery, data cleanup, access approvals, evaluation, integration, staff time, licence/usage costs, support, monitoring and eventual exit. Ask for separate one-time and monthly estimates.
Where to look for support
European Digital Innovation Hubs offer digital adoption support, including testing and skills. In Poland, check PARP, European Funds and regional programmes. Eligibility, deadlines and available aid change; a programme listing is not confirmation of funding.
